Objective of Role

To oversee the design and delivery of a range of year-round short course training programmes responding to industry need and demand, working with the head of department and other school departments as applicable to identify tutors, schedule space and teaching time, oversee recruitment onto courses and ensure all reporting is undertaken as needed from time to time.

Main Duties

  • Create and maintain the schedule of short programmes offered by LFS in liaison with course tutors, Head of LFS Open and relevant LFS departments; manage room bookings in CELCAT.
  • Act as first point of contact for course tutors in relation to scheduling, invoicing/payments, course evaluation, course content and ideas, etc.
  • Lead the research and development of new short course programmes, responding to emerging industry needs and trends and published research, developing content, identifying course tutors and creating schedules.
  • Where applicable, lead on securing funding for larger-scale programmes
  • Oversee the recruitment, training and development of a team of regular workshop assistants, line-managing the Short Course Programme Coordinator, plus a team of casual/weekend assistants.
  • Create and maintain a rota of workshop assistants to ensure sufficient and appropriate support for each course.
  • Ensure that sufficient stocks of consumables are in place at all times to facilitate the smooth delivery of the programme.
  • Oversee the delivery of LFS Summer School programmes
  • Arrange equipment hire and insurance, secure location permissions and complete risk assessment for all relevant short programmes.
  • Act as chief custodian for the LFS brand; create rigorous systems and processes to ensure that the highest standards of customer service, presentation and delivery are consistent throughout each of the programme’s activities.
  • Conduct weekly programme meetings to discuss all issues relating to upcoming courses and evaluate recently completed courses.
  • Act as first point of contact for external enquiries relating to short programmes.
  • Create and manage a system of free workshop places for current MA students, on behalf of the LFS Student Union.
  • Be on call on the day of a course in case of emergencies (shared with departmental coordinator).

Financial

  • Prepare regular programme budgets, financial performance reports, records of funding & expenditure for the Head of LFS OPEN and finance department.
  • Respond to a range of regular and ad hoc information requests from the Financial Controller.
  • Assume responsibility for all invoices, payments, refunds, petty cash, and credit card purchases for the department.

Marketing & Communications

  • Work with the LFS marketing and communications team to plan and implement effective marketing strategies and campaigns to promote the short course programme, both internally and externally.
  • Assume oversight responsibility for all electronic communications related to short courses, both internal and external; MailChimp and social media.
  • Oversee all sections of the LFS website relating to short courses.
  • Assist the Marketing & Communications Team by determining relevant sources for content creation from within the short course programme.
  • Cooperate on the management of marketing databases with the Head of Marketing & Communications, Academic Registrar and Head of IT.

Additional Duties

  • Deputise for the Head of LFS OPEN as required on the School’s Health and Safety Committee, attending meetings as required.
  • The post may involve some late night and weekend working.
  • Undertake any other duties that may reasonably be required to meet the needs of the School.

Person Specification

Essential:

  • Bachelors degree (or equivalent), or equivalent professional experience
  • Minimum 12 months’ experience managing a varied programme of professional short courses, preferably in the creative industries
  • Experience designing new training programmes, including designing content, scheduling, budgeting, and identifying and recruiting trainers of suitable experience and calibre
  • Excellent interpersonal skills
  • Excellent communication skills and command of the English language, both written and spoken
  • Proficient in IT including Office 365, experience of at least one major content management system, and processing online payments
  • Experience leading and managing teams of assistants and coordinators
  • Demonstrated ability to meet targets and programme goals
  • Experience with producing and delivering events
  • Experience with cash-handling and overseeing budgets, financial reports and forecasts
  • Experience offering outstanding customer service to paying clients including, resolving conflicts

Desirable:

  • Experience in developing new online booking systems
  • Experience designing marketing and promotional activities including use of social media to promote products and brand engagement
  • Demonstrated experience in the film or educational industry
  • A strong understanding of industry trends and demands
  • Familiarity and comfort with A/V and film production equipment
